Regulations for Participation as a Professional

 

These regulations apply only to professionals registered as distributors, editors, booksellers, librarians, illustrators, rights agents and scouts, translators, education professionals, and others. The corresponding coordination of the FIL Organizing Committee must manage any other matter.

By registering or paying the registration fee for the Guadalajara International Book Fair, participants confirm that they have read these regulations. The Organizing Committee will resolve any unforeseen aspects, and its decision will be final.

For these regulations, the terms used will be understood according to the following definitions:

FIL: The Productive entity of the University of Guadalajara called the Guadalajara International Book Fair.

Event: Exhibition called the Guadalajara International Book Fair or FIL, organized by the University of Guadalajara.

Organizing Committee: The internal team of the FIL, responsible for organizing the event.

Hotel: A commercial establishment that provides temporary lodging for people.

Expo: Expo Guadalajara, Fairgrounds.

Profesional: Any person who is registered under any of the following categories: distributors, editors, booksellers, librarians, illustrators, rights agents and scouts, translators, education professionals, and others.

a) Professional registration

Professionals interested in participating must register within the established deadlines and make the corresponding payment

  • From February 16th to September 4th: 1,000 (one thousand) Mexican pesos
  • From September 5th to November 6th: 1,350 (one thousand three hundred and fifty) Mexican pesos.
  • Registration on site (from November 28th to December 2nd): 1,350 one thousand three hundred and fifty) Mexican pesos.

b) Registration fee for illustrators (FILustra)

People interested in participating in the FILustra program must register within the established deadlines and make the corresponding payment. There is no on-site registration.

  • From July 15th to September 4th: 1,780 (one thousand seven hundred and eighty) Mexican pesos
  • From September 5th to November 6th: 2,200 (two thousand two hundred) Mexican pesos

When you register as an illustrator, you cannot change category later. This decision is irreversible, and no modifications or refunds will be accepted.

c) Registration fee for illustrators (FILustra) with discounts for students and graduates of the University of Guadalajara

  • From July 15th to September 4th: 850 (eight hundred and fifty) Mexican pesos
  • From September 5th to November 6th: 1,200 (one thousand two hundred) Mexican pesos.

(To respect the preferential student rate, it is necessary to attach a photo or scan of your student or graduate credential from the University of Guadalajara to the email registro@fil.com.mx.)

Professionals will have access to exclusive activities and spaces on the following days and times:

  • Monday, November 30th, Tuesday, December 1st and Wednesday, 2nd from 9:00 to 17:00.

Pre-registration payments can be made in the following ways:

  • Online Payment: With Visa or MasterCard credit card information. Payments with American Express cards are not accepted.

On-site registration payments can be made at the Registration Module, located at the entrance of the International Area of Expo Guadalajara (in front of the Barceló Hotel). Payment may be made in cash (Mexican pesos) or by credit card. Visa, MasterCard, and American Express are accepted.

For participants residing in Mexico who require an invoice, we recommend sending your Constancia de Situación Fiscal (issued by the SAT) to registro@fil.com.mx. If the information provided contains errors or the certificate is not received, we will not be able to issue the invoice, and it will be issued as a "Sale to the General Public”.

Once the invoice has been requested and issued, modifications are not allowed. Also, a single invoice will be issued for each payment receipt, including all related items.

During the fair, any inquiries regarding pending tax receipts can be made at the invoicing office located within the Business Center. The deadline for invoice claims is December 26th, 2026.

If a participant cancels their professional registration, FIL Guadalajara will refund the corresponding percentage, as indicated in the following table, based on the cancellation date. The refund will be processed via electronic transfer to the account of the professional or company that made the payment.

  • FIL Guadalajara will deduct any bank commission fees incurred from the electronic transfer of the refund.
  • If the participant cancels due to a pandemic with regulations that do not align with those of the Mexican authorities, the cancellation policies outlined in the table will apply.
  • If the participant is unable to attend due to an emergency, such as illness or a serious personal situation, they can either transfer their registration to another person. Or use their payment from this year as a credit for the 2027 edition, as long as the profession sends the corresponding justification and documentation. This credit cannot be used for future editions beyond 2027.
  • If FIL 2026 is cancelled by the Organizing Committee on the orders of the competent Mexican authorities due to a natural disaster, pandemic, or other health risk, a 100% refund of the amount paid will be made within 120 business days following the cancellation. Participants may also choose to use that amount as an advance payment for the next edition of the fair, notifying the event before December 15 of the year they registered.

a) Activities

During the designated days, professionals will have access to exclusive activities such as conferences, workshops, business meetings, and specialized events designed to foster interaction among key players in the publishing industry.

It is recommended to visit the Professional Training section on the website to identify activities that require an additional fee or specific registration.

b) Business Center

The Business Center is an exclusive space for exhibitors and registered professionals. Anyone wearing their accreditation will have access to the center and the following services:

  • Internet Service with E-mail Access: Internet access will be available from November 29th to December 02nd. An access code will be provided at the Business Center reception desk.
  • Invoices & Payment of Services: Personalized attention related to payments and invoices.
  • Storage Service: Storage service for belongings, from November 28th to December 2nd, from 9:00 to 17:00 hours.
  • Work tables: Spaces designated for business appointments. Each appointment lasts 30 minutes and must be booked in advance at the Business Center reception desk.

As a benefit for registered professionals, attendees will have access to the online Contact Catalog, which includes the contact details of all registered professionals for FIL Guadalajara in the current year.

These catalogs are intended to help professionals establish business connections, reach potential partners, and explore collaboration opportunities within the publishing industry.

This information is taken from the professional registration form and will be published in the directory for networking purposes. The style of the information complies with the capture and writing standards established by the FIL.

If you do not wish to appear in the directory, you must notify us in writing at the time of registration by emailing registro@fil.com.mx.

The accommodation benefit will be granted to buying professionals who can verify purchases or acquisitions made for their institutions during the previous year's FIL by submitting the corresponding invoices. This support applies to the following categories: Distributors, Librarians, Booksellers, Illustrators, and Translators.

The FIL Organizing Committee will cover three nights of accommodation. Under no circumstances can the number of complimentary nights be increased. The dates and hotels will be determined by FIL, subject to Organizing Committee approval and availability, with no possibility of change. Any additional nights requested will be subject to availability and must be paid directly to the hotel. 

A credit card with an expiration date after January 2027 is required to secure the hotel reservation. Before the start of the fair, the hotel will verify that the card is valid and contains the correct information as a guarantee.

The deadline to request changes or cancellations is Saturday, September 12th. Requests must be submitted in writing to registro@fil.com.mx. After this date, cancellations will not be accepted without penalty.

  • In case of cancellation after September 12th, the hotel will charge one night as a penalty, plus the total cost of any additional nights booked.
  • In case of no-show at the hotel for check-in on the date assigned by FIL, the hotel will charge one night as a penalty, plus the total cost of any additional nights booked.
  • In case of early departure, the total cost of any additional nights booked will be charged.

In all of the above cases, the hotel will charge the credit card provided as a reservation guarantee.

This is the official document that confirms professional registration for FIL. It contains key dates, details regarding badge pickup, and information about complimentary accommodations, if applicable.

Badges will be available for pickup from Saturday, November 28th to December 2nd between 9:00 and 17:00. To receive your accreditation, you must present your confirmation letter either in physical or digital format at the Pre-registration Module, located at the entrance to the International Area of Expo Guadalajara (in front of the Barceló Hotel).

You can pick up multiple badges if you have the confirmation letters of your colleagues, just you will need to sign for the badges and take responsibility for them. If you do not have the confirmation letter, each professional must go to the Pre-registration Module to pick up their badge.

a) Badge Usage

If a participant misuses their badge, it will be confiscated, and their participation in FIL may be canceled, for the current and future editions. Misuse includes lending or selling the badge.

b) Lost badge

In the event of a lost badge, it can be replaced once at the Pre-registration Module during the established dates and times. After that, the replacement fee for a lost badge is 1,000 Mexican pesos.

a) Personal Items

Participants are responsible for the care and safekeeping of their personal belongings. In the event of damage, loss, or destruction, FIL and the Organizing Committee are not liable.

b) Safety Measure

Participants must comply with the safety measures set by the Expo and the Organizing Committee to ensure a safe environment for all fair visitors.

c) Exhibition Center Facilities

Expo Guadalajara is authorized to establish, modify, and enforce rules for the use and security of the exhibition center. The Organizing Committee is not responsible for any restrictions or limitations by the venue on the property or its equipment. Also, participants must comply with these rules:

Any damage caused by failure to comply with these rules must be covered by the responsible participant, as determined by the Organizing Committee.
